Travel Policy

Athletes must travel to Hershey with their team, unless there is an extenuating or exceptional issue/situation that will not permit it; vacation plans are not considered as extenuating or exceptional. The state/provincial chair must have the request approved by the respective Regional Coordinator and Hershey Program Manager. If approved, air travel will be covered by The Hershey Company and the athlete must be able to travel with another designated Hershey team. It will be the responsibility of the parent/guardian to get the child to designated alternative airport. If parent/guardian chooses to drive the athlete to Hershey (with approved issue/situation), the cost will be covered by the parent/guardian. Time arrivals must be coordinated with the respective state/provincial chair/chaperone for meeting the athlete upon their arrival to the Elizabethtown College.

Canadian participants and chaperones must have current passports (personal expense). Parents are advised to keep a record of the passport registration number in case the passport becomes lost. For detailed information please go to our section on Canadian Passport Requirements.
